When will registration open?

Registration will open on Tuesday 9 May 2023.

When will registration close?

Registration for the face to face component of the conference will close on Monday 9 October 2023. Late registration will be available on-site at the conference venue but we recommend registering in advance to ensure that we can accommodate you.

Registration for the virtual component of the conference will close on Monday 30 October 2023. As the conference starts on Friday 13 October 2023, delegates registering on Thursday 12 and Friday 13 October 2023 may experience up to 24 hours delay in their access to the platform. Delegates registering after 3.00 pm on Saturday 14 October 2023 will only receive access within office hours.

How can I pay for my registration?

Registration through the website will accept a number of different payment card options including VISA, Mastercard and American Express.

Invoice registration is available for those whose organisations wish to pay for them. Please follow the invoice booking process detailed below. The invoice registration deadline is Monday 11 September 2023. We are not able to provide invoice registration after this date.

How can I pay by invoice?

Please download and complete the invoice registration form which includes guidance on completing invoice registration.

There is a one week grace period on registration rates for purchase orders. For example, a purchase order at early bird rates must be received by Monday 7 August 2023, one week after the early bird registration closes. Any purchase orders with incorrect rates will be returned and your registration will not be completed.

All purchase orders must be received by Monday 11 September 2023. Invoice registration is not available for late registrations.

Once we have all the necessary information to complete your invoice registration, delegates will receive an order confirmation and an invoice will be sent to the address on the purchase order. When you sign into your BSE member profile you may see that the transaction is unpaid but please do not worry; as long as you have your order confirmation you will be eligible to attend the conference. Once the invoice has been paid by your organisation the transaction will be settled by our finance team.

How to book

For delegates paying by card payment, you can add your bonus face to face events during the registration process.

For delegates paying by invoice, please note your desired bonus face to face events on your invoice registration form.

For either option, if you are already registered and wish to add a bonus face to face event, you can amend your itinerary and make payment through the website up to Sunday 8 October 2023.

How to attend

For events that have a £10 refundable deposit, please collect your ticket from registration. When you attend the event, hand your registration to the BSE staff member on the door and we'll mark your attendance so that we can refund your deposit. Deposits are not refundable for no-shows.

Can I change my registration type?

If you'd like to upgrade your registration type, please email [email protected] and we can arrange this.

If you'd like to downgrade your registration type, please email [email protected] and we can arrange this. Downgrades will be subject to pro rated cancellation fees on the cancelled portion as per our cancellation policy below.

What is your cancellation policy?

Full refunds will only be offered for cancellations made in writing up to 48 hours after payment has been received provided that the cancellation is received before Monday 9 October 2023. After 48 hours, a 15% administration charge will be incurred. No refunds will be offered for cancellations made after Monday 9 October 2023. Registration is non-transferable to any other participant or event.

How are you improving the sustainability of conference?

We are careful to ensure that the venues we choose meet key sustainability criteria. The ICC Wales holds industry sustainability accreditations proving that they meet a high standard of sustainability.

We ask that you return your lanyard and badge holder at the end of the conference so that they can be recycled for future use.

When will the Annual General Meeting take place?

This year the Annual General Meeting (AGM) will form part of the main programme and will take place at 1.30 pm on Saturday 14 October 2023 in the Main Auditorium. All BSE members are invited to attend.

More information about the AGM will be available soon.

When will the Honorary Fellowship, Fellowship and Lifetime Achievement awards be presented? 

New awards for 2023 will be presented immediately after the close of the AGM.

When are abstract submissions open?

Abstract submissions will be open from Monday 5 June 2023 until Sunday 16 July 2023.

When will abstracts be presented?

Abstracts accepted for oral presentation will be presented on Friday 13 October 2023 from 3.30 pm - 5.00 pm.

Abstracts accepted for poster presentation will be available for the duration of the conference.

What times will the conference be open?

What time is registration?

Registration will open at 8.00 am on Friday 13 October 2023. We recommend arriving with plenty of time to spare before the first session at 8.45 am - we're often busy on the first morning of conference and you'll be able to grab a tea or coffee in the exhibition hall before the session starts.

Registration will open at 8.30 am on Saturday 14 October 2023.

What types of content will be available for the main part of the conference?

You'll be able to access the conference on Friday 13 and Saturday 14 October 2023, as it happens.

The recordings of all the tracks will be added to the virtual conference platform as soon as possible, and will be available on demand.

How will I get my badge?

Print-at-home badges will be sent by email on Tuesday 10 October 20223. On arrival, you'll be able to collect a badge holder and lanyard, have your badge scanned and enter the conference without queueing for registration.

What if I don't receive my badge?

If you registered before Monday 9 October 2022 and haven't received your badge, drop us an email to [email protected] and we can send this out to you again.

We will have capacity to print a small number of badges on the day, but we recommend that you print at home or at work to save time on queuing for registration.

Are there any social events this year as part of the conference?

There will be a drinks reception held at 5.00 pm on Friday 13 October 2023 in the exhibition hall.

I'm new to conference and I'm not sure what to do!

Join our conference newbie meetups at 8.00 am on Friday 13 October 2023 and 8.15 am on Saturday 14 October 2023 in the exhibition hall. If you sign up at the point of registration, we'll provide more details on who to look out for closer to the time.

Our friendly staff are always on hand to answer any questions too.

How many BSE points will I get for attending the conference?

Each day is worth 5 BSE category I points, for a maximum of 10 for attendance at the full conference.

You can only get BSE points between Friday 13 October - Monday 6 November 2023.

What if I attend the face to face event and then re-watch it online?

BSE points are capped at a maximum of 10 for attendance at the full conference, however you access the content.

I don't collect BSE points - what are my options?

Each day is worth 6 hours of echo lectures towards EACVI recertification.

We're applying for accreditation from a number of bodies within the UK and globally, and we hope to gain recognition of the high quality education we're providing.

When will I get my certificate?

After the platform closes on Monday 6 November 2022, we have to analyse the data to confirm who attended and then upload it to our system. This takes approximately 2-4 days.

We aim to send certificates by Friday 17 November 2023.

What types of content will be available for the virtual part of the conference?

You'll be able to access the live stream of the plenary session on Friday 13 and Saturday 14 October 2023, as it happens.

The recordings of the plenary session and the supplementary tracks will be added to the conference platform as soon as possible, and will be available on demand.

How long will I have access to the content?

The live stream of the plenary session will be available on Friday 13 and Saturday 14 October 2022

The recordings of the plenary session and the supplementary tracks will be added to the platform as soon as possible and will then be available until Monday 6 November 2023. During this time, you'll be able to obtain BSE points for watching the sessions.

From Tuesday 7 November 2023, members will be able to access the presentations on our website.

Do I have to watch the sessions live?

No, you don't - we want you to be able to watch when it works for you. However, to obtain BSE points you'll have to watch them by Monday 6 November 2023.

What do I need to access the content?

All you will need is your computer and a stable and reliable internet connection.

Please note that we cannot guarantee access from NHS devices due to individual organisational firewalls over which we have no control.

Will I be able to watch on a mobile device?

The conference platform is fully mobile responsive, however as you're watching presentations with detailed slides, you'll get the best experience on a larger screen.

Can we watch as a group?

It is possible to watch the presentations as a group, and we recognise the additional learning opportunities that this will provide, especially if watching as a department.

Please be aware that points can only be awarded to individuals who are logged into the session. Therefore, for registered delegates viewing the sessions as part of a group, please note that a separate login will be required to receive points for sessions attended. This can be done at a later time by logging into the sessions and accessing the webpage for that session.

Why will my information be passed to Medivents?

Medivents are supplying us with their services to run our virtual conference platform. Only the relevant information will be passed to them and this will be done in compliance with the General Data Protection Regulation (GDPR).
